Events and Bulletin Team

Below are the job descriptions for the members of the Events Team of Basingstoke Friends

EVENTS OFFICER

* To ensure a diverse range of events are available for club members with sufficient events for each calender month.

* To avoid event clashes, e.g. Similar events in close proximity on the same day, repetition of same type of event on consecutive days.

* To ensure that members are aware of the event subsidy available.

* To present a summary of events at each committee meeting for the next month requiring committee attendance such that adequate attendance can be assured.

* To co-ordinate with and, as necessary, delegate the e-bulletin production.

* To ensure that all information on the event system is present and correct, e.g. date, location, starting time & telephone number. To chase members for event details to ensure that all entries in the events system are in a suitable state.


AIVC LIAISON OFFICER (ALO)

* Act as contact for the Association of Inter-Varsity Clubs (AIVC) and other Inter-Varsity Clubs across the country.

* Receive the AIVC Newslines / Newsletter and ensure that it is distributed to all committee members, normally at the next committee meeting, or before if possible.

* Receive bulletins from other IVCs. Ensure that they are taken to events and that ordinary members are able to view them. Read through the bulletins to see if there are any ideas for events / general items which may be of interest to IVC.

* Respond to enquiries from IVC members requesting information on other IVCs.

* Ensure that changes of address received from other IVCs are entered into the Membership Database.

* Ensure that AIVC business is raised at committee meetings, or before with the chairman if considered necessary.

* Ensure that summaries of other IVCs Weekends / holidays are entered into the events sytem for the next month.

* Liaise with neighbouring club's ALOs and IVC Activities Co-ordinator to promote and organise joint events.

* Attend the AIVC Conference / ensure adequate IVC presence.


Association Liaison Officer's Calender

January - Book any Basingstoke Friends delegates and observers into the AIVC Conference.

March / April - Ensure delegates and observers are still able to attend AIVC Conference
